What are Managed Groups in ParentSquare?

Groups are a powerful tool in ParentSquare that allow staff and teachers to communicate with specific sets of people, such as a caseload, a grade-level committee, or an after-school club.

This guide will walk you through how to create, manage, and troubleshoot groups to ensure your communications reach the right audience.

Overview of Groups

In ParentSquare, groups are categorized into two main types:

  1. Static Groups: Members are added manually and stay in the group until they are manually removed.
  2. Dynamic Groups: Members are automatically added or removed based on specific data criteria (e.g., all students in 9th grade or all parents in a specific zip code).

How to Create a Group

Follow these steps to set up a new group for your school or class.

  1. Log in to ParentSquare.
  2. On the left-hand sidebar, click Participate and select Groups.

  1. Click the New Group button in the top right corner.
  1. Choose the group type:
    1. Custom Group (Static): Ideal for specific teams or caseloads.
    2. Auto-update Group (Dynamic): Ideal for grade levels.

  1. Enter a Group Name and Description.
  2. Add Members:
    1. For Static Groups, search for individuals by name and click Add.
    2. For Dynamic Groups, set your filters (e.g., Grade, School, or Language) to automatically pull in members.
  3. Click Save.

How to Manage Group Owners and Managers

Every group needs a leader to post updates and manage the roster.
  1. Group Owners: Have full control over the group, including the ability to delete it.
  2. Group Managers: Can post messages and manage members but cannot delete the group.

To change roles, go to your group:

  1. Click Manage Group, then Edit Members.
  2. Use the drop-down menu next to a member's name to designate them as an "Owner" or "Manager."
