How to view MFG and Empty Transcript Records - District View

District View - Viewing Missing and Empty Final Grades

At the end of the school year, any transcript records that need a final grade for state reporting but do not have a final grade are populated with the final grade MFG (Missing Final Grade). In addition to records with the final grade MFG, there are transcript records with empty final grades.

These records can be viewed from both the district and school views. From the District view, the records may be viewed from the Grades or Global top tabs.

District View Grades top tab

Log on to Aspen (sis.mybps.org) in the District view

  1. Navigate to the Grades top tab
  2. Click on the Transcripts side tab
  1. Click on the Dictionary (book icon) and select the appropriate Transcript Definition. Select either the Grades 6-12 (Quarters) or Grades 6-12 (Trimesters) to see high school transcript records.
  1. Click on the Filter menu (funnel icon)
  2. Select the filter MFG or Empty Gr 6-12 - District; SY = ? and enter the year

It may also be helpful to use the MFG and Empty - No TermGrades and/or the MFG and Empty -With Term Grades filters
  1. Optional: it may be helpful to change fieldsets by clicking on the Fieldset icon (grid icon)
  2. Selecting the Grading Fields fieldset

District View Global

Log on to Aspen (sis.mybps.org) in the District view

  1. Navigate to the Global top tab
  2. Click on the All side tab
  3. Find and then click into the Student Transcript table
  1. Click on the Filter menu (funnel icon)
  2. Select the filter MFG or Empty Gr 6-12 - District; SY = ? and enter the year

Sort Data

By default, the data is sorted by the School Year. You may want to view the data sorted by school, student mame and then by course number. You can use the saved sort School Student Course by selecting the Sort menu (a-z icon) and selecting the sort order.

Quick Report on Data

A Quick Report has been created on the data.

To run the report:

  1. Click on the Report menu
  2. Select Quick Report
  1. Click on Saved Report
  2. Select School List
  3. Click Finish
If you would like the data in .csv format, make sure the data is sorted and then use the Quick Print option (printer icon) to print to a .csv.
