How do I send an Attendance Nudge Letter with ParentSquare's Secure Document?

Create a Nudge Letter Template:

  1. Run the Nudge Letters from Aspen. You will use this report to define a template in ParentSquare.
    Run the Report: School View> Student Top Tab> Reports> Absence Letter.
  2. Create a template in ParentSquare using the report being sent out. Go to Add-Ons, select Secure Documents in the left sidebar and click New Template.
  3. Enter Template Title and upload Nudge Letters PDF. This part is only looking at one page to create the template.
  4. Select Student ID Type: SIS ID.
  5. A preview of the sample PDF will be displayed. "Click and drag" to draw a rectangle around the position where the student ID is located. This includes the invisible Student ID.
  6. Scroll down and select "Add regular expression for Student ID "
  7. For Attendance Nudge Letters, the Student ID Pattern must be \b(\d{6})\b . Erase what auto populates. Copy and paste this code.
    Copy and paste from here if needed, text has to be exact: \b(\d{6})\b
  8. Select "Save Selection" to successfully create your Attendance Nudge Letter Template.

Send the Attendance Nudge Letter from Template:

  1. Go to the Secure Documents section, the template created will show up. Select "Send from Template".
  2. Enter the number of families that are receiving this document. In this example, it is 9 students. Select "Choose PDF Documents File," and upload the PDF of the Attendance Nudge Letters.
  3. A message "Finding Student Pages " will appear.
    If an error occurs, please go back and check the Student ID Pattern in Step 7.
  4. Once the upload is complete, the next page will show you how many documents were created, how many students it found to send to and if there were any invalid/wrong pages.
  5. Give the email a Subject/Title and enter the message you would like sent in the body of the email.
    The option to send out in other languages is available; however the language has to be translated and then entered into the selected language choice.
    ParentSquare does not translate for you.
    Example, parents with a Parent Preference of Spanish in Aspen will receive it in Spanish if the translated text is entered.
  6. On the bottom section of this Secure Document you can view the Students and the document that will be sent out to families.
  7. Select the "Send # Documents" option
    You can also Schedule when to send out by clicking the drop down arrow next the "Send # Documents."
  8. Once sent, you can go back to the Secure Documents section and View Delivery Report.
