How to Send Report Cards with ParentSquare

What are the requirements for successful report card delivery with ParentSquare?

To successfully send report cards using ParentSquare, please have the following beforehand: access to ParentSquare, finalized report cards ready in PDF Format, updated student information, the exact total number of student report card records expected for secure delivery.

Without meeting the requirements above, sending documents may be delayed and there’s a higher chance of errors when processing.

How do I Send Report Cards using Secure Documents?

In order to send out a secure document delivery to your families, you first must create a defined template. Then you will use this template to send your report cards. Follow the steps below or watch this video for more information (ParentSquare).

Create the Report Card's Defined Template

  1. Go to Add-Ons select Secure Documents in left side bar and click Send from Template for the desired template.
  1. Enter Template Title and upload Report Card PDF. This part is only looking at one report card to create the template.
  1. Select Student ID Type: SIS ID.
  1. Preview of the sample report card PDF. "Click and drag" to draw a rectangle around the position where the student ID is located.
  1. Select Save Selection to successfully create your Report Card Template.

Send the Report Cards from the Defined Template

  1. Upload the report card PDF batch by entering the total number of student report cards.
There is a limit of 9000 pages within a document, so break these into chunks and if the number of documents found does not match what you entered, you will will receive a warning message.
If you get an error when uploading the report cards into the defined template please enter this code under "add a regular expression" Student ID Pattern: \b(\d{6})\b
  1. After the report card document is processed, you will see the number of report card documents that were created and identify any where student IDs were not found. Click View for students to see report cards that will be sent to them.
After you've sent your secure documents to families, view a report with delivery statistics and mail out any documents students' that were marked as undelivered (ParentSquare).
